Give each colleague their own identity so that lists, notes and working time can be attributed correctly. Do not ask a whole shift to share one person's PIN.
Choose the right kind of access
| Person or account | How they sign in | What it is for |
|---|---|---|
| Administrator | Email, password and authenticator code | Business setup, billing and account administration, as well as operational management |
| Manager | Email and password; an authenticator code if enrolled | Reviewing work and managing warehouse operations |
| Worker | Select their name on a warehouse device and enter a PIN | Creating and completing replenishment work |
| Supervisor | Worker sign-in, with supervisor access enabled | Floor supervision, reassigning lists and shift handovers |
| Device account | Warehouse device username and password | Connecting a shared scanner or tablet to a location |
A supervisor is a worker with extra floor permissions. A manager account is a separate email-based sign-in. Give people the access they need for their job.
Add an administrator or manager
You must be an administrator to manage these accounts.
- Open Settings → Admins & managers.
- Select the add-user button and enter the colleague's email address and initial password.
- Select the appropriate role and save the account.
- Give the colleague their sign-in details privately. They use Sign in, rather than the device login page.
- An administrator must complete authenticator enrolment on first sign-in. A manager follows any security prompts shown for their account.
Keep an administrator available for account and billing tasks. Review access when someone changes role or leaves.
Add a worker or supervisor
- Open Settings → Workers.
- Select the add-worker button and choose the location where the colleague works.
- Enter their name as you want it to appear on lists and reports.
- Enable Supervisor only if they need to oversee other people's work, reassign lists and create handover notes.
- Enter and confirm a personal PIN of 4–8 digits, then save.
- On a device signed into that location, ask the colleague to select their name and enter their PIN.
When editing a worker, leave the PIN fields blank to keep their current PIN. If a name is missing from the device, check that the worker is active and assigned to the same location as the device.
Change or remove access
Use the edit and deactivate controls beside the relevant colleague in the management screen. Check the person's role and location before saving. If a worker has unfinished lists, arrange a reassignment or handover before removing their access. Keep historical work in context when reviewing reports.
Import several people from Veeqo
Only an administrator can import people, see their Veeqo identities, or link and unlink accounts. Managers and workers do not see these controls or associations. Importing names does not copy Veeqo passwords or permissions.
- Open Settings → Workers to import workers, or Settings → Admins & managers to import managers.
- Select Import from Veeqo. Check that the list contains people from the expected business.
- Tick the people you want to add. You can select up to 50 in one import. People who are already linked are shown but cannot be selected again.
- Select Review selected and check the prefilled names. For managers, check the email addresses too, and supply an email if Veeqo has not provided one.
- For workers, choose the warehouse for the selected group and enter a new personal PIN for each person. They start with standard worker access; enable supervisor access separately if needed.
- For managers, enter a new Stockoban password for each person. These accounts receive operational manager access, rather than administrator access.
- Select Import for the reviewed group. If a check fails, none of the selected accounts are created. Read the message, correct the details or select fewer people, and try again.
- Share each person's new Stockoban sign-in details privately and check they can use the correct sign-in route.
Worker plan limits still apply. Importing someone does not change their Veeqo account or give them Veeqo sign-in to Stockoban. The Veeqo association is shown beside their account in user management, visible only to administrators.
Link an existing account instead
If a colleague already has a Stockoban account, link it rather than importing a duplicate:
- Open the relevant user management screen and select Import from Veeqo.
- Expand Already have a Stockoban account? Link it instead.
- Choose the Veeqo person and the existing Stockoban account. Check both carefully; matching is not automatic.
- Select Confirm link.
A person can have only one association in your business, and a Stockoban account can have only one Veeqo association. If a colleague has both a manager and a worker account, choose which account to link. This does not merge the two accounts or alter their permissions.
Unlink a Veeqo identity
- As an administrator, open Settings → Workers or Settings → Admins & managers.
- Find the colleague and check the Veeqo identity shown beside their Stockoban account.
- Select Unlink and confirm.
Unlinking removes only the association. Their Stockoban account, sign-in access and work history stay in place. To stop someone using Stockoban, deactivate their Stockoban account separately. You can unlink from user management even when Veeqo is unavailable.
If importing fails, check the connection and its permissions. You can continue creating Stockoban accounts manually. If an imported person is no longer present in Veeqo, review their Stockoban access separately; the association does not automatically deactivate them.
